Meet Haven's Triage Agent

Haven's triage agent runs the first conversation on every maintenance request, automatically and over text, then hands your coordinator a request that is ready to assign.

Every maintenance request starts with a conversation. A resident reports that something is broken, and someone has to text them back, ask the right questions, get a photo, and figure out what is actually going on before anyone can be sent to fix it. That is where Haven's triage agent steps in, the moment a request comes in.

Its job is simple: gather the most useful detail in the fewest questions, then hand your maintenance coordinator a clean, complete request that is ready to assign. It holds a real conversation, understands the photos residents send, and lets them open, cancel, and check on requests right in the text thread. When it wraps up, a tidy summary lands in your PMS that no one on your team had to type.

WHAT IT'S LIKE

The experience, from your resident's side

Say a resident reports that their kitchen sink is backing up. Here is what happens next, all over text:

  1. Within about a minute, Haven texts them from your company's number. It references the request, asks whether the water is draining slowly or not at all, and asks for a photo under the sink.

  2. The resident replies that it is not draining, and mentions they will send a photo after work. Haven pushes its follow-up back so it is not nagging.

  3. That evening the resident sends the photo. Haven reads it, notes the slow leak at the trap connection, and files the image straight to the work order.

  4. Haven confirms everything is set, lets them know a technician is being assigned, and keeps them posted in the same thread when the visit is scheduled.

Your coordinator never had to chase a single detail, and the resident felt looked after the whole way.

WHAT IT DOES

It holds a real conversation

  • Notices when an answer is too vague and asks again, instead of filing a half-answer as done.

  • Gives partial answers partial credit: it keeps what the resident gave, asks only for the piece that's still missing, and includes everything in the final summary.

  • Accepts "I don't know" and moves on, so triage can still wrap up instead of stalling on one detail.

  • Answers the resident's own questions about their requests, right in the same text thread.

It understands photos

  • Actually reads the photo and pulls what it needs from it, like a make, model, or where the leak is, without guessing at what it can't see.

  • Recognizes several photos of one issue and groups them into a single summary.

  • Uploads the real photo files into your PMS, not a link to an outside image host.

  • Skips asking for a photo you already attached to the work order.

It stays on top of the request

  • Sends gentle reminders if the resident goes quiet, on the cadence and quiet hours your firm sets, never outside allowed times.

  • Waits when a resident says "I'll send it after work," pushing the next nudge back before following up again.

  • References the request's real ID from your system (the Buildium Task #, the Rentvine or AppFolio work order), so every text is unambiguous even when a resident has several open.

  • Tells the resident, in the same thread, when a vendor is assigned or the request is closed.

  • Stands down on its own when a vendor is assigned, when your team takes over, or when the resident says it's already fixed.

Residents can do more by text

  • Open a brand-new request by text, checked against duplicates first. Haven turns what they describe into a proper request in your system, then triages it like any other.

  • Cancel a request, with a yes/no confirmation.

  • Ask for the status and history of any request, open or closed.

  • Handle several asks in one text: create one request, check on another, and cancel a third.

It's careful by design

  • Never asks a resident to inspect wiring, gas, electrical panels, or roofs. It swaps in a safe question instead.

  • Never confirms an emergency, promises a timeline, or says who pays. Sensitive questions get a steady "your property manager will assess this," and every outgoing text passes a final no-promises check before it sends.

  • Stays out of billing, lease, fee, and inspection threads, and keeps getting better at telling real maintenance from everything else.

  • A stranger who texts an unknown number gets a polite "we can't find you, please contact your property manager," and never a full conversation.

COVERAGE

Deep on Buildium, Rentvine, and AppFolio

The agent runs deep on all three systems, attaching real files, quoting real request IDs, and picking up new requests within about a minute on Buildium and Rentvine. AppFolio is newer, so a couple of abilities (a resident opening a brand-new request by text, and private scheduling calls) are coming next. Everything else, from triage to reminders to status updates, works the same across the board.

The first conversation sets the tone

For most residents, the triage text is the first thing they experience after reporting a problem. When it reads the photo they sent, remembers what they already answered, and quotes their real request number, it reads like someone is paying attention.

The routine gets handled cleanly and safely, your coordinator gets a decision-ready request instead of a raw transcript, and everything runs under your company's name, so to the resident it reads as your team reaching out.

For most residents, the first text after they report a problem tells them how seriously they are being taken. We built triage so that first message feels like attention, not a form.
